How to create a Registration Record

A Registration Record is a booking that a Mentor creates on behalf of the Booker. It is useful for many reasons:

  1. The attendee does not have a device or cannot manage to book themselves.

  2. The attendee turned up without a booking and you want to record the attendee retrospectively.

The Registration Record is an important tool for HAF Providers who want to ensure that the data about drop-in attendees are sent back to their Council.

How to Create a Registration Record

  • Select from your blocks of dates. You can select dates in the past or future.

  • Add as many attendees as you like. Type their first and last names, add their email and phone number (if know). You can also send a confirmation email to the booker by ticking a checkbox if the dates are in the future.

  • Choose the correct ticket for each person.

  • Optionally, click ANSWER QUESTIONS to complete any of the checkout questions on their behalf

  • Save the answers to the questions

  • Click SAVE RECORD

A few things to remember about Registration Records 🐘

  • Your attendees will only get an email if you tick the box (the email is only sent for future dates)

  • A Registration Record for a HAF listing will not automatically be considered HAF ELIGIBLE - it can still be declined by your council if they are responsible for eligibility decisions. Once they have approved the eligibility status the record with display as approved.

How should I handle an existing customer who has attended an extra session without booking?

If the Booker or Attendee has booked or even messaged you previously, you can create a Bespoke Invoice instead of creating a Registration Record. This is a superior process as your customer will have access to all the information they need on Eequ.
