Core Challenge

🎟️ Normally parents expect to book HAF activities in advance

πŸšΆπŸ»β€β™€οΈFor Adventure Playgrounds, they expect to walk in without booking

How to set up your Eequ Listing

Add one block of dates πŸ—“οΈ

On your DATES tab, add a block of dates that include all the dates you are open over the summer:

Ticket Types 🎟️

OPTION 1: Choose a BLOCK ticket type if you want parents to be forced to book all the dates this summer.

(Expect more queries regarding cancellations)

πŸ’‘Tip: For open access provisions, we recommend to use block tickets if you don't need to regulate the group size.

OPTION 2: Choose a SESSION ticket type if you are happy for parents to book individual sessions.

(Expect less queries about cancellations)

Group Size πŸ‘

  1. If you wish, you can set a larger group size to account for no-shows, in order to achieve the number of places you have agreed the funding for. Please note: you will only be paid for the agreed maximum funding.

  2. Take your register each day and only mark those who attended

Booking Cut off - Advanced Setting βš™οΈ

πŸ’‘Tip: This setting is recommended for open access providers who do not regulate their group size.

  1. Switch on the new setting Booking Cut off

  2. Select β€œAllow walk-ins”

  3. Enter the hours to ensure bookings stay open 30 mins after the end of your session (e.g. 8 hours 30 mins). This will help you to catch the parents and getting them to make a booking.

QR code at reception πŸ“±

  1. Download a QR code for your Eequ listing

  2. Create a big poster for the entrance/ reception area

  3. Catch parents as they come in and ask them to scan and book for today

Posters πŸ–ΌοΈ

We understand that the biggest challenge as an open access provision is getting the parents to book. That is why we recommend having eye-catching posters, complete with a QR code that makes the process booking easier.

We offer a service where we can create a welcoming poster tailored for your open access provision. It would feature all the essential information except for the dates, so it could be used all year round.

These posters are priced Β£4.99 each. You can order one by emailing to us at hello@eequ.org

Managing booking requests 🟒

Once you start receiving booking requests, you will need to either approve or cancel them in order to complete the booking process.

To approve a booking, you can do so by going to menu > Bookings and ticking the green check next to each booking βœ…

πŸ’‘Tip: If you don't want to approve each booking one by one, you can turn on the 'Auto- approve bookings' setting for your listing. This is recommended to those open access providers who do not regulate their group size.

To turn this setting on, go to menu > Listings > Select edit listing

Select Settings tab and toggle the switch next to Auto-approve bookings.

To cancel a booking, select the red X next to each booking ❌

You will be able to include a cancellation message

Taking the Register βœ…

To take the register, go to menu > Registers > Select Take Register next to the session you want to record

Mark your attendees by selecting the box next to their name
