How and when to create a Registration Record

Create a booking on behalf of a new Booker

A Registration Record lets you create a booking on behalf of a new customer when:

  1. The attendee does not have a device or cannot manage to book themselves.

  2. The attendee does not have an email

  3. The attendee does not and is unable to have an Eequ account

  4. Record the attendance retrospectively

  5. Walk-ins

The Registration Record is an important tool for HAF Providers who want to ensure that the data about drop-in attendees are sent back to their Council.

New Customers

They do not have an Eequ account and have never booked with you before.

Option 3: Create a booking for a new attendee and a new account holder

Option 4: Create a booking for a new attendee with no account holder email

How to Create a Registration Record

For both options, start by going to MENU > Create a booking

Then select the listing and dates you would like to create a booking for and select NEXT


Option 1: Create a booking for a new attendee and a new account holder

Select the Listing and dates, then:

1. Select create a new attendee

2. Enter the account holders details which include: email address, phone number, first name and surname

3. A message will appear letting you know that this customer is new to Eequ and they will be invited to claim their account.

4. Enter the attendee first name and surname (or select same as account holder if the attendee is the account holder)

5. Select CONTINUE

6. Select a ticket

7. Complete required checkout questions:

  • Date of birth

  • Confirm eligibility if the child is eligble for benefit related free school meals

  • Tick any other statements that apply to the child

8. Double check the booking looks right then select NEXT

9. Add a message if you need to and review your bookings, then select CONFIRM BOOKINGS

10. You will get a confirmation message, which gives you the option to create another booking or view your bookings on your bookings page

11. The account holder will receive an email confirming their booking details and asking them to claim their Eequ account.


Option 4: Create a booking for a new attendee with no account holder email

Select the Listing and dates, then:

  1. Select create a new attendee

2. Select or continue without email

3. You will see a message confirming you are continuing with no email and that you can add it later

4. Enter the attendee's first name and surname

5. Select CONTINUE

6. Select a ticket

7. Complete required checkout questions:

  • Date of birth

  • Confirm eligibility if the child is eligble for benefit related free school meals

  • Tick any other statements that apply to the child

8. Double check the booking looks right then select NEXT

9. Add a message if you need to and review your bookings, then select CONFIRM BOOKINGS

10. You will get a confirmation message, which gives you the option to create another booking or view your bookings on your bookings page

A few things to remember about Registration Records

A Registration Record for a HAF listing will not automatically be considered HAF ELIGIBLE - it can still be declined by your council if they are responsible for eligibility decisions. Once they have approved the eligibility status the record with display as approved.

How should I handle an existing customer who has attended an extra session without booking?

If the Booker or Attendee has booked or even messaged you previously, you can create a Bespoke Invoice instead of creating a Registration Record.
