How to send a bulk message

Send a bulk message to all or some of your bookers!

πŸ“§ We have two types of bulk emails you can send:

🎟️ Transactional: An essential email about a service a customer has already requested.

e.g Please bring Wellies on Wednesday.

πŸ“£ Marketing: A promotional email or update about a future service.

e.g Bookings are open for our new club!

β˜‘οΈ Emails will only be sent to bookers who have opted in to receive updates and newsletters emails from you.

πŸ“₯ Who can receive your emails?

You can choose exactly who receives your email. Simply check or uncheck bookers from any group, including those who are:

βœ… Approved

⏳ Awaiting approval

❌ Declined

🚫 Cancelled

✨ You can:

πŸ”— Attach a link

πŸ’¬ Add a custom message

πŸ“ Use rich text formatting

πŸ“© Send a copy to your own email

πŸ‘₯ Send a copy to all associated staff


πŸ“– Step-by-step guide:

  1. Please go to Menu > Messages

2. Select the BULK MESSAGE button

3. Select which type of email you would like to send: Transactional or Marketing, then select NEXT

Have a look at GDPR regulations by selecting "Find out more about sending bulk messages"

4. Choose which bookers to email based on the listings they’ve booked.

To reach everyone who has ever booked with you, select All listings.

πŸ’‘Tip: To remove a selected listing, select the X icon next to it.

5. Filter your recipients by your session dates.

❌ Bookers who have opted in to receive emails from you outside your selected session date range, will not receive the email.

6. Filter your email recipients by booking status. Select all if you would like to email anyone that has ever booked with you.

7. Select NEXT

8. Uncheck any recipients you don’t want to email by clicking the green checkbox.

9. Select NEXT

10. Write your email subject and message in the text box.

πŸ’‘Tip: Highlight important information in Bold or underline.

πŸ’‘ Tip: To add a hyperlink, highlight the text, click the link icon, paste your URL, and select Insert.

To remove the hyperlink, highlight the text and click the unlink icon.

12. Select the checkboxes to send a copy sent to your email and to staff linked to the listing (mentor collaborators).

13. Select SEND MESSAGE when you are ready.

14. You will receive a confirmation message when your email is sent.

To view your email and replies, go back to menu > messages.
